Under the Email tab on the Options screen there is a link to "Open folder management". From there you have the ability to create and manage your own personal and group folders.

Several options are available when managing folders, including:

To create a new folder:

  • Click on the "Create a new folder" button
  • A pop-up box will appear (see below)
  • Enter a name for your new folder
  • The default "A new personal folder" is already selected
  • Click the "OK" button


To share an existing folder:

  • Click on the "Sharing" button beside the folder you wish to share
  • A pop-up box will appear (see below)
  • Select whether you would like to disable or enable sharing for the folder
  • If you are sharing the folder then select a password others will need for access
  • Click the "OK" button


To create a link to an existing shared folder:

  • Click on the "Create a new folder" button
  • A pop-up box will appear (see below)
  • Enter a name for this folder
  • Select "A link to an existing shared folder", enter the user name of the owner
    and the password which they have used to protect this folder
  • Click the "OK" button


To delete or rename an existing custom folder:

  • Select the "Delete" or "Rename" button beside the folder you wish to change
  • A pop-up box will appear to confirm the deletion or request a new folder name
  • Click on the "OK" button to confirm your action

Note: Deleting a folder permanently deletes all messages within it so use the folder delete option with care. Contrarily, deleting a link to another users shared folder just deletes the link and the messages will not be effected however you will lose ownership of any messages you may have had stored in that folder.


To set the cleanup and maintenance of a folder:

  • Select the "Cleanup" button beside the folder you wish to change
  • A pop-up box will appear (see below)
  • Several options are available on this screen, including the ability to disable the
    maintenance, deleting old messages or archiving them to another folder

Note: Folder maintenance is important, whether done manually or automatically through the "Cleanup" option, as you have a maximum of 10 MB of space within your Cool Toad email account. Once you reach 50% of your allotment you will see a warning in the left-side folder window advising you as to how much space you have remaining. By keeping your account well-maintained you can be sure that you will not run out of space to receive new messages.

Note: Only users with JavaScript-enabled browsers will be able to access the Folders tab.
